Operations & Logistics Coordinator (International Relocation & Mobility)

AGS Prague is part of an international relocation and mobility network, providing import, export, moving, storage, and logistics solutions for corporate clients, embassies, diplomats, and private individuals worldwide.

We are looking for a highly organized, hands-on, and proactive Operations & Logistics Coordinator who can oversee the entire operational flow of international relocations while managing daily resources, crews, warehouse activities, and fleet utilization.

This is a key operational role for someone who enjoys coordinating people, solving problems, managing multiple priorities, and ensuring exceptional customer service.


Role Overview

You will be responsible for coordinating international import and export operations from booking to final delivery while ensuring the efficient planning of crews, warehouse resources, packing materials, and company vehicles.

You will act as the central point of contact between customers, overseas partners, customs brokers, transport providers, warehouse personnel, and moving crews.

Success in this role requires strong organizational skills, excellent communication abilities, operational leadership, and the capacity to manage numerous moving parts simultaneously.


Key Responsibilities:

International Operations Management

  • Coordinate international import and export relocations by air, sea, and road.

  • Manage shipments from booking through customs clearance and final delivery.

  • Liaise with overseas partners, international branches, clients, agents, and suppliers.

  • Monitor shipment milestones and proactively address delays or operational issues.

  • Review shipping documentation including Bills of Lading, Air Waybills, customs documents, and delivery paperwork.

  • Ensure compliance with customs and international shipping requirements.

  • Coordinate with customs brokers, freight forwarders, shipping lines, and transport providers.

  • Manage customer communications throughout the relocation process.

  • Handle claims, service issues, and operational incidents.

 

Planning & Crew Management

  • Plan daily, weekly, and monthly operational activities.

  • Schedule moving crews and packers according to workload and project requirements.

  • Assign manpower efficiently across multiple jobs.

  • Coordinate subcontracted crews when additional resources are required.

  • Organize last-minute schedule changes and operational contingencies.

  • Maintain workforce planning tools and schedules.

 

Warehouse Management

  • Coordinate incoming and outgoing shipments.

  • Manage storage operations and inventory control.

  • Ensure proper handling and tracking of customer goods.

  • Maintain operational standards, safety, and organization within the facility.

 

Resource & Inventory Management

  • Monitor stock levels of packing materials and operational supplies, forecast requirements and coordinate replenishment.

  • Control operational costs related to packing and logistics resources.

  • Ensure teams have the necessary equipment for each assignment.

 

Fleet Management

  • Manage the daily utilization of the company's vehicles and schedule vehicles according to operational requirements.

  • Monitor maintenance schedules, inspections, registrations, and repairs.

  • Coordinate external transport resources when required.

 

Supplier & Partner Management

  • Build and maintain relationships with carriers, freight forwarders, customs brokers, and subcontractors.

  • Request and evaluate quotations.

  • Negotiate operational solutions and service improvements.

  • Monitor supplier performance and service quality.

  • Review supplier invoices and operational charges.

 

Administrative & Financial Coordination

  • Prepare operational files and job documentation.

  • Ensure accurate data entry into internal systems.

  • Support invoicing processes and operational billing.

  • Review supplier costs and verify invoice accuracy.

  • Maintain complete operational records and documentation.


 

What We're Looking For

 

Essential Experience

  • 3+ years of experience in international removal, logistics, transportation, relocation, supply chain, freight forwarding, or operations coordination.

  • Bilingual Czech / English – other languages is a plus.

  • Experience managing multiple stakeholders simultaneously.

  • Experience planning operational teams and field resources.

  • Experience coordinating suppliers and subcontractors.

 

Preferred Experience

  • International moving and relocation industry.

  • Freight forwarding or shipping operations.

  • Customs processes and documentation.

  • International customer service.

  • FIDI, IAM, or international mobility environment aware.
